Southaven, Mississippi document errands: printing, fax, notary, passports and certified copies (2026)
Where to print, fax, notarize, apply for a passport and get certified copies in Southaven, Mississippi, using only official and provider pages. Each fact links to its source. Some facts are statewide or national rather than local. We label those.
Printing, copying, scanning and fax
First Regional Library (FRL)
- Southaven Public Library: 8554 Northwest Drive, (662) 342-0102. Open Monday–Thursday 9:30 a.m. to 8 p.m., Friday 9:30 a.m. to 5 p.m., Saturday 10 a.m. to 5 p.m. and Sunday 2 to 5 p.m. [7]. The Census Geocoder places it inside Southaven city [8].
- Copy and fax: FRL lists copy and fax machines among its services [9]. We didn't find copy, print or fax prices on the FRL pages we checked; call the branch.
- Mobile printing: you can send a print job from anywhere and pick it up at the library; prints expire if not picked up within 24 hours [10]. We didn't find the price.
- Scanning: we didn't find scanning details on the FRL pages we checked.
- The UPS Store: it lists 1 location in Southaven: 384 E Goodman Rd., (662) 349-8555. Its city page says its stores offer packing, shipping, printing, shredding, notarizing, faxing and mailbox services [11]. The Census Geocoder places it inside Southaven city [8]. We didn't find prices on the store pages; The UPS Store's site says products, services, prices and hours may vary by location [12].
See printing prices and fax prices.
Notary in Southaven
- Southaven City Clerk: the City Clerk's page lists "Notary to the Public" among the office's duties [13]. It doesn't give a fee, hours or whether you need an appointment, so call City Hall first.
- First Regional Library: we didn't find a notary service on the FRL pages we checked.
- The UPS Store: its Southaven page lists notarizing [11].
- Fees (statewide law): Mississippi law says a notarial officer may charge up to $5.00 for services [14]. The Secretary of State's notary rules set the same $5.00 maximum per signature for acknowledgments, jurats and signature witnessings, and say "A notary public need not charge for notarial acts." A notary may add a travel fee under set conditions, an employer may bar fees on work time, and the fee is waived for an absentee voter application or ballot [15]. Ask for the price before the notary starts.
- Proposed change (not in effect as far as we found): a proposed-rule filing on the Secretary of State's site would raise the maximum to $10.00 for most notarial acts ($5.00 for certifying an electronic document) and allow up to $25.00 for an electronic notarization [16]. We didn't find that it has been adopted; the current rules above still list $5.00 [15]. Confirm with the notary or the Secretary of State's Notary Division, 601-359-1615 [17].
Passports in Southaven
The U.S. Department of State's Passport Acceptance Facility Locator data lists 1 facility in Southaven. The Census Geocoder places it inside Southaven city in DeSoto County [1][8]:
| Facility | Address and phone | Passport hours (locator) | Photos |
|---|---|---|---|
| Southaven Post Office (USPS) | 7550 Airways Blvd., Southaven, MS 38671. 662-349-8571 | Mon–Fri 10 a.m.–3 p.m.; Sat 8:30–10:30 a.m. | Listed as on site |
- Post office: the locator says to book passport appointments, or see more passport times, at usps.com/scheduler [1].
- Nearby: DeSoto County Chancery Clerk (Hernando): passport applications are taken in Rooms 100 and 104 on the first floor of the DeSoto County Courthouse, 2535 Highway 51 South, Hernando, Monday–Friday 8 a.m. to 3:30 p.m. Walk-ins are welcome; no appointment is needed [2].
- Chancery Clerk fees and payment: the $35 execution (acceptance) fee per applicant can be paid by cash, check, debit or credit card; the clerk's photo service adds $15 per applicant. Pay the State Department's fees separately by check or money order [2]. If you fill in the form ahead of time, use black ink and don't sign it until you're at the office. For children under 16, both parents should come [2].
- Post office fees (national): a $35.00 acceptance fee and a $15.00 photo fee "if needed" [18].
- Faster return delivery (national): two official pages list different prices. USPS lists "$22.05—1- to 3- day delivery service for faster return shipping to you from the State Department" [18]. The State Department's fee page lists 1–3 business day return delivery at $26.87, for passport books only [19]. We couldn't re-read the State Department page on Oct 31, 2026, because it blocked our check. Confirm the fee with the acceptance facility before you pay.

Birth, death, marriage, court and recorded-document copies
Birth, death and marriage certificates (statewide)
- Who issues them (statewide): in Mississippi, certified birth and death certificates come from the Mississippi State Department of Health (MSDH) Vital Records office, not from a county office. MSDH's rules make the state the sole registration district [20]. MSDH holds birth and death records from November 1912 on [21].
- Fees (statewide): birth, death and marriage certificates are $17; additional copies of the same record ordered at the same time are $6 [4][21]. By state law, $1.00 of each certified copy fee goes to the Children's Trust Fund. If no birth record is found, MSDH issues a Not-On-File certification and still charges the fee [22].
- In person (statewide office): 222 Marketridge Drive, Ridgeland, Monday–Friday 8 a.m. to 4 p.m., closed state holidays [4][23]. MSDH says you get a birth certificate the same day unless a search is needed; death and marriage copies are mailed within 7–10 business days [4]. MSDH's birth certificate page says to bring photo ID [22].
- Paying in person (MSDH pages differ): MSDH's Q&A says it takes cash, a bank or post office money order, a cashier's check or a credit card in person, and that personal checks aren't accepted [4]. Its death and marriage record pages say you may pay by "cash, check, money order, or credit card/debit card" [23][24]. Bring something other than a personal check, or call MSDH at 601‑206‑8200 to confirm [21].
- By mail (statewide): Mississippi Vital Records, P.O. Box 1700, Jackson, MS 39215-1700, with a bank cashier's check or a bank or postal money order payable to Mississippi Vital Records, plus a copy of photo ID; no cash or personal checks [22].
- By phone or online (statewide): through a private service (VitalChek) by credit card, for an extra fee [21][4]. MSDH lists two numbers: its birth certificate page says to call 601‑206‑8200 [21], and its Q&A says 1-877-295-4229 [4].
- For a passport (statewide): MSDH says its certificates are long-form, have a raised seal and can be used to get a passport; it no longer issues short-form birth certificates [4].
- Divorce (statewide): MSDH doesn't keep divorce records. It offers a $17 five-year divorce index search to find the county; the certified decree comes from that county's Chancery Clerk [4].
Marriage licenses
- Marriage record copies (statewide): MSDH has marriage records for January 1, 1926 to June 30, 1938, and January 1, 1942 to the present; it says not every marriage is on file, and otherwise to contact the Circuit Clerk in the county of issue [24]. For July 1938 through December 1941, only the Circuit Clerk in the county that issued the license has the record [4].
- DeSoto County Circuit Clerk: applications are taken in Room 200 on the second floor of the DeSoto County Courthouse, 2535 Highway 51 South, Hernando, Monday–Friday 8 a.m. to 4 p.m., walk-ins welcome. Both applicants must appear [3].
- Fee: $37, cash or card. Since June 1, 2022, the county has charged a fee to process credit card payments [3]. We didn't find the amount of that card fee.
- What to bring: proof of age for both applicants, such as a driver's license, ID, passport or birth certificate. If either of you has been married before, you need the date the last marriage ended, and a copy of the divorce decree if it was within the last 6 months. There's no blood test or waiting period. Applicants under 21 need parental consent [3].
- Ceremonies: the office only issues licenses; DeSoto County judges don't perform ceremonies [3].
- Court records: the Circuit Clerk keeps circuit and county court records and marriage records; phone 662-469-8007 [25]. We didn't find copy fees for court records.
Recorded documents (deeds, liens, military discharges)
- Where: the DeSoto County Chancery Clerk's Land Records office is at 311 W South Street, Suite C, Hernando, 662-469-8397, open Monday–Friday 8 a.m. to 5 p.m. It records deeds, mortgages, liens, powers of attorney and military discharges, and almost all records are searchable online [6].
- Recording fees: sources disagree. DeSoto County's own fee schedule calls DeSoto an archive-fee county and lists $26.00 to record a deed of up to five pages, plus $1.00 for each page after five [26]. The statewide schedule from the Mississippi Chancery Clerk's Association (on the Harrison County Chancery Clerk's site) lists $26.00 for archive-fee counties and $25.00 for other counties, and its list of archive-fee counties doesn't include DeSoto [27]. Confirm the fee with the Land Records office or its fee calculator before you send a check [6].
- Copies: DeSoto's schedule lists copies at $0.50 a page made by the clerk's office or $0.25 a page if you make them yourself, $1.00 to certify a document and $5.00 a page for plats. Documents that don't meet Mississippi formatting law cost $10.00 more [26].
Apostilles (statewide)
- Fee and rules (statewide): the Mississippi Secretary of State charges $5.00 a document. The document must be notarized by a Mississippi notary or signed by a Mississippi public official; send originals, with a check or money order payable to Secretary of State [17]. The Secretary of State also says a notary who doesn't work for the issuing agency may not certify a copy of a government document such as a birth certificate [17].
- Where to send it (statewide): by mail to Secretary of State, P.O. Box 136, Jackson, MS 39205-0136, Attention: Notary / Apostille / Authentication, with Form 11 [28]. For FedEx or UPS the street address is 660 North Street, Jackson, MS 39202; include a prepaid return envelope, or documents come back by regular mail [17]. Questions: Notary Division, 601-359-1615 [17]. We didn't find walk-in hours or a processing time on that page.
More on certified copies: how to get a certified copy.
Money orders
USPS money order fees are national: $2.65 for $0.01 to $500.00, and $3.75 for $500.01 to $1,000.00. Pay with cash or a debit card, not a credit card. The limit is $1,000 per domestic money order [29]. Other sellers: money order guide.
